Lettings Administrator/Front of House

Enthusiastic, pro-active individual required to join our busy and expanding Lettings Department.  You will use your proven admin, IT and communication skills to assist with the continued growth of our Lettings Department.  Primarily assisting with administration but also responsible for `Front of House’; dealing with landlords and tenants.  Training given on our bespoke computer systems.  The successful candidate will be keen to learn more about our lettings business and make a positive contribution, ideally holding an ARLA qualification (, but if not willing to obtain this.

Salary £17,000 per annum pro-rata 4 days a week, Tuesday – Friday.

Lettings Administrator/Front of House


To provide an efficient, customer focussed service and assist with the everyday duties within the letting agency.  To support the Lettings team in all areas of day to day administration and maintenance duties.   To liaise and build good working relationships with landlords, tenants, applicants, contractors and outside agencies.

Main tasks of the job:

  • Communicate with landlords / tenants / contractors / staff members on a one to one basis, whether in person, via email or telephone, ensuring high standards of customer service are provided.
  • Open the post and deal with any answer phone messages.
  • Keeping all files up to date.
  • Handling and progressing applicant enquiries including referencing.
  • Preparing, typing and issuing property inventories.
  • Notifying utility companies of a change in occupier.
  • Organising gas safety and energy performance certificates.
  • Typing and organising reports where appropriate.
  • Invoicing clients and tenants.
  • Maintaining and updating our lettings software.
  • Manage key.
  • Updating websites and portals.
  • Managing window displays.
  • Arrange (and occasionally accompany) viewings at properties.
  • Liaising with Landlords, tenants and contractors regarding maintenance in order to facilitate solutions.
  • Organise quarterly property visits, report on such and action as necessary.
  • Dealing directly with clients / tenants looking to let or rent properties.
  • Other tasks as necessary.
